From the videos it seems a little loud. Is it? I would want to use it in church or meetings but not sure if this is too loud.

It does have a little noise to it so I guess depending on how quiet the church is you could hear it, but not a bad sound more of a small washing sound. I’ve used it in class for work and it didn’t seem to disturb anyone while they were talking.

Is this a good fan for a work desk?

I have used this fan while sitting at my desk. It does have 3 settings, and the noise of the fan gets louder each setting. Me personally, it’s better to use for outside as a handheld rather than a desk fan. This fan also runs on a charge as well, just keep that in mind. But it’s perfect and I love mine!

Can someone tell me how to insert the scent exactly?

Use the edge of your nail to wiggle loose the fragile little round plastic cover off the front. Insert the scent pad, then be careful to put the cover back on at its top first - there's a tiny protrusion in the circle, that a just-as-tiny divot at back of the cover fits over. My fan cover is white w/clear fan & grill, I had to touch a slender marker tip to the top of the front circle so I could find the teeny protrusion again! 😄 When put back on, you can feel around the edges if you got it crooked, it should be flat. You can re-scent the pad a couple times, take it out (so no oil is accidentally dripped down into the fan motor) and apply a drop or two of Lemon aromatherapy oil (at many stores or here on Amazon). You won't need a large bottle, aromatherapy oil is used by the drop. You can hand wash the little pad a couple times when the oil gets old, use unscented soap or rinse VERY well to get out the soapy scent, air dry. If you want new unscented pads, you can search "diffuser pads for aromatherapy" here on Amazon, they come in white or many colors, are small to fit into "aromatherapy jewelry", many people like to wear the oil in necklaces & bracelets. Some pads are slightly different sizes, if you order them too big, you may need to trim. You can also find aromatherapy oil in different scents for your plain pads, at many stores or here on Amazon, if you prefer something other than Lemon.

Do I have to have the fragrance? Is it optional?

No, you do not have to put the fragrance disc in the fan, it is optional to insert. I love this fan & use it daily at my vanity to help dry & set my face products & makeup.
